Do you sell beer, soda, energy drinks, or other beverages with a deposit? Then you’re familiar with the dilemma: You have to collect the deposit when you sell online, but at the same time, the price of the item must be displayed without the deposit. With “Deposit & Refund,” Shoporama handles both automatically, so you can sell returnable items hassle-free and without worrying about the rules.

You set up your deposit types once and apply them to your products. Shoporama then adds the deposit to the shopping cart, displays it as separate line items on the order and invoice, includes it in your accounting, and automatically refunds it when the items are returned.

Legal requirements are met from the start

According to the rules, you must collect the deposit when selling deposit-bearing beverages online, and price labeling regulations also require that the price of the item be displayed without the deposit. These two requirements pull in opposite directions, and this is exactly where many online stores fall short today. Shoporama displays the price as required by the rules: The product price is shown clearly, and the deposit is automatically added to the cart. In the latest themes, the customer can even see the deposit amount right on the product page, e.g., “+ Deposit A: 1.00 DKK,” so there are no surprises at checkout.

Note that this feature is designed for deposits and security deposits. According to the rules, excise taxes—such as packaging or chocolate taxes—must be included in the displayed price of the item and may not be added as a separate line item.

Deposits A, B, and C with a single click

If your online store has Denmark as its default country, you can set up the official Danish rates with a single click: Deposit A at 1.00 DKK, Deposit B at 1.50 DKK, and Deposit C at 3.00 DKK. Deposit amounts are always listed inclusive of VAT, and the VAT amount is automatically calculated using the destination country’s VAT rate so that it appears correctly on both the invoice and the credit memo.

You can also create your own deposit types with custom names and amounts, such as a keg deposit of 200 kr., a crate deposit, or a CO2 deposit of 400 kr. for soda machines and draft beer systems. This allows you to cover everything from bottle and can deposits to deposits on packaging and equipment. Feel free to assign the deposit its own item number for bookkeeping purposes; otherwise, an automatic item number will be used.

Set on the product, applied to the variant

For each product, select the deposit type and the number of deposit units per sales unit. A single can has 1 deposit unit, and a case of 24 cans has 24. If you sell the same beer as both individual cans and cases via variants, simply override the number per variant; a variant can be set to 0 if it’s not supposed to have a deposit at all. Bundles have the deposit applied to the bundle itself, so the contents aren’t counted twice.

In the cart and at checkout, the customer can always see the deposit as a separate amount, and on the order it appears as its own line item, e.g., “Deposit A (24 units) 24.00 DKK.” The amount remains consistent all the way through to payment, even with payment solutions that show the customer a detailed shopping cart, such as Klarna, Stripe, Nets Easy, and PayPal.

Just like on a supermarket receipt

The deposit appears as its own lines on the order, just like on a supermarket receipt. Therefore, it is automatically included in the order confirmation, on the invoice, on the packing slip, on credit memos, and in accounting integrations such as e-conomic, Billy, and Dinero. Your bookkeeper can separate the deposit amounts using the deposit’s own item number instead of having the deposit included in the prices of the items.

Deposits do not count as revenue in statistics on merchandise consumption and gross profit, so your contribution margin remains unaffected, and the deposit never affects your inventory.

Discounts, free shipping, and points never affect the deposit

If you offer a 20% discount on your entire store, the discount is applied only to the price of the items. The deposit is never part of the discount base, it doesn’t count toward the free shipping threshold, and no loyalty points are earned on deposit amounts. These are precisely the areas where you’d otherwise lose money without even realizing it.

Automatic deposit refund on returns

If a customer returns 1 of 2 cases, the returns center automatically refunds the deposit for exactly 24 cans along with the item’s price. No calculators, no errors, and no customers missing their deposit money. If the customer exchanges the item for other products, a deposit is of course charged on the new items. And if you remove a deposit type, the charge stops going forward, while old orders and credit memos retain their deposit.

Included in the POS system and for subscriptions

If you use Shoporama’s point-of-sale system in your physical store, the deposit is automatically added when you scan the item, and it appears as a separate line item on the receipt. A single setup ensures consistent pricing in-store and online.

If you sell beer or soda subscriptions, the deposit is automatically charged with each delivery as part of the subscription price.

Get started quickly, even with a large product range

Deposit types are set up in the online store’s settings, and with the table editor, you can apply deposits to many products at once. The product list can display a deposit column, so you can quickly see which items are missing. If you have 400 beers and soft drinks on your shelves, setting this up takes an afternoon, not a week.

This feature works in all of Shoporama’s built-in themes without any setup. If you’re using a custom-developed or modified theme, the theme must be updated before the deposit appears on the product page, in the cart, and on the order confirmation, invoice, and packing slip. The actual billing and bookkeeping work regardless of the theme, but we recommend updating the theme before you enable the deposit. Contact support or your theme developer. For developers, the deposit can also be read and set via the REST API.
