Theme Files: Upload Images to Your Theme

Learn how to upload images, PDFs, SVGs, and videos to your online store under "Design" > "Files," how to get a permanent public URL for each file, and when you should use the Image Library instead.

Most images in your online store are associated with a product or a category. But sooner or later, you’ll end up with a file that isn’t: a banner image, a size guide as a PDF, a logo in SVG, or a video for the homepage. That’s exactly what the Files page is for. You upload the file and receive a permanent, public web address that you can use anywhere in your store.

How to Find the Files Page

  1. Log in to the Shoporama admin panel
  2. Click “Store” in the left-hand menu
  3. Open the “Design” menu group
  4. Click on Files

The page is simply called " Files," and it displays a list of everything you've already uploaded.

What file types can you upload?

Shoporama accepts nine file types on this page. Anything else will be rejected:

  • Images: JPG, JPEG, PNG, GIF, and WEBP
  • Vector graphics: SVG, which is ideal for logos, icons, and graphics that need to be razor-sharp at any size
  • Documents: PDF, such as size guides, data sheets, user manuals, or a product catalog
  • Video: MP4 and WEBM

If you try to upload something else—such as a ZIP file, a Word document, or a plain text file—Shoporama will stop the upload and display the message “Invalid file format” along with the list of allowed types. There is also an upper limit of 32 MB per file, so very long videos must be compressed before you upload them.

How to upload a file

  1. In the “Folder” field, select where the file should be located. If “Root Folder” is selected, the file will be placed at the top of your file area
  2. Click in the field under “Upload Files” and locate the file on your computer. You can select multiple files at once and upload them together
  3. Click the " Upload" button next to the field

Once the upload is complete, you’ll see a green confirmation showing the number of files that were uploaded, and the files will immediately appear in the list below.

The file name is automatically cleaned up

The filename becomes part of the public web address, so Shoporama automatically cleans it up when you upload. Three things happen:

  • Uppercase letters are converted to lowercase
  • æ, ø, and å are converted to ae, oe, and aa
  • Spaces, parentheses, and other special characters are replaced with hyphens. This also applies to capital Æ, Ø, and Å, so they disappear instead of being converted to ae, oe, and aa

The file “Størrelsesguide Dame.pdf” will therefore become “stoerrelsesguide-dame.pdf.” This is an advantage because URLs without spaces or Danish characters work reliably in all browsers and email programs, including on mobile devices.

If you later upload a file with the exact same name, the old one will be overwritten, and the address will remain the same. You can actively use this feature when, for example, a size guide needs to be updated.

Folders give you an overview

If you have many files, you can organize them into folders. Click “New Folder” in the top-right corner, enter a name in the small dialog box, and confirm. The button only appears when you’re in the Root Folder.

  • Folder names may only contain the letters a through z, numbers, and hyphens. Both uppercase and lowercase letters are allowed, but everything else—including æ, ø, å, and spaces—will be removed without warning. If the name is left completely blank, you’ll see the message “Invalid folder name.”
  • You can have folders at a single level. There are no folders inside folders
  • Change the folder in the Folder field. The list updates automatically as soon as you make a selection
  • A folder can only be deleted once it is empty. Then the “Delete Folder” button will appear

A practical way to organize your files could be one folder for banners, one for PDF guides, and one for videos.

How to use the file in your shop

Each file in the list has a column labeled “URL.” Click in the field to select the entire address, and you can copy it using Ctrl+C or Cmd+C. The address looks like this:

The URL is hosted on your own domain, so customers never see a third-party address, and the file is delivered over the same secure connection as the rest of the store. You can use this URL virtually anywhere:

  • In text content: product descriptions, static pages, blog posts, and landing pages
  • In your theme: as a background image in your CSS or directly in the theme’s HTML
  • As a download: a regular link to the PDF file, e.g., from a product description or in the menu
  • In newsletters and emails: email programs can’t access your admin panel, but they can easily retrieve an image from a public address like this one
  • As a background video: MP4 and WEBM files can be selected directly in the Page Builder. See also the guide to background videos on the homepage

To view the file as your customers see it, simply click the file name in the Name column. It will then open in a new tab.

List of files

The table displays the columns Name, URL, Size, Uploaded, and Type. The most recent files appear at the top by default, and you can click on the column headers to sort them differently. The URL column is the only one that cannot be used for sorting. Size is displayed in MB, so you can quickly spot the large files that are slowing down your homepage.

The list displays each file with its final URL, which you can copy directly into your theme or a text editor. The folder selector at the top controls where new files are saved, and the trash can icon on the far right deletes a single file.

How to delete files

  • Single file: Click the red trash can icon at the far right of the row
  • Multiple files: Check the boxes next to the ones you want to delete, then click “Delete Selected” at the bottom. You’ll be asked to confirm. The checkbox at the top of the table selects all files at once

Deletion is permanent, and the link stops working immediately. If you’re using the file in a product description, in your theme, or in a newsletter that’s already been sent out, it will break in those places. The list can’t tell you where a file is used, so check for yourself before you clean up.

Files or Image Library? Here’s How to Choose

Right below “Files ” in the menu is “Image Library.” The two pages look similar, but they serve different purposes.

Use the Image Library when

  • You’re working with standard images for text and content (JPG, JPEG, PNG, GIF, and WEBP, up to 10 MB)
  • You want to be able to search for, add a description to, and reuse the same image in multiple places
  • You want the image to be delivered automatically in the correct size and in a modern, compressed format
  • You want to insert the image with just a few clicks in the editor instead of copying and pasting URLs

Use Files when

  • The file isn’t a standard image: PDF, SVG, MP4, or WEBM
  • You need a fixed URL that you enter yourself into your theme or a newsletter
  • The file needs to be delivered exactly as uploaded, without automatic processing. This is important, for example, for an SVG logo or a banner that you’ve optimized yourself

The rule of thumb is simple: content images belong in the Image Library, while documents, videos, vector graphics, and theme files belong under Files.

Why is it worth the money?

You won’t have to maintain an external file-sharing service for your PDF guides, and you won’t have to ask a web developer to upload a banner every time you run a campaign. At the same time, you get a stable URL that you can reuse year after year, so old newsletters and blog posts don’t end up with a blank space where the image used to be.

For the tech-savvy

  • The address pattern is /public-files/filename for files in the root folder and /public-files/folder/filename for files in a folder. Only one folder level is supported
  • Files are served from the store’s own domain, so relative paths work fine in the theme’s templates
  • There is no transcoding, compression, or resizing. The file is served byte for byte, exactly as you uploaded it, so optimize your images and videos yourself before uploading
  • If a video is to be selectable in the Page Builder’s video field, it must be located in the Root Folder
  • The files belong to the online store and not to the active theme. If you switch themes, they will still be there

Frequently Asked Questions

I’m getting the message “Invalid file format.” What should I do?

The file type isn’t on the list of the nine allowed formats. The message itself shows which types work. Save the file in a different format and try again—for example, a Word document saved as a PDF, or an image saved as a JPG. If you’re uploading multiple files at once, Shoporama will stop after the first file with an incorrect type, so check the list afterward to see which files were successfully uploaded.

Where can I find the URL for the file I just uploaded?

In the URL column next to the file. Click in the field, and the entire address will be automatically selected so you can copy it. You can also click on the file name itself under “Name” to open the file in a new tab and copy the address from the browser’s address bar.

Can I upload customer invoices or other confidential documents here?

No. Everything you upload here is publicly accessible to anyone who knows or can guess the address. There is no login or access control for the files. Use this area only for material you want to share with everyone. Personal information, receipts, and customer documents do not belong here.

How large can a file be?

Up to 32 MB per file, and if you upload multiple files at once, the total size counts as well. For images, however, you should aim for a much smaller size. A homepage banner larger than 500 KB will make your site noticeably slower on mobile devices, and page speed affects both conversion rates and your ranking on Google. Compress the image before uploading it.

Can I create subfolders inside a folder?

No, there is only one folder level. However, you can have as many folders as you want in the Root Folder. Folder names may only contain the letters a through z, numbers, and hyphens. Anything else will be removed without notice, so “Størrelsesguider” becomes “Strrelsesguider.” Therefore, type the name yourself without Danish letters or spaces, e.g., “stoerrelsesguider.”

Can I upload an ads.txt or a verification file from Google?

Not here. Text and HTML files are not among the allowed file types, and the files are also located under the address /public-files/ and not in the root directory of your domain itself. If you need a verification file placed in the root directory, please email support@shoporama.dk, and we’ll help you.

Will my files disappear if I change themes?

No. The files belong to your online store and not to the theme you’re currently using. You can change themes as many times as you like without the files or their paths changing. Keep in mind, however, that a new theme won’t automatically recognize the images you’ve manually inserted into the old theme’s code.

Can I see where a file is used before I delete it?

No, the list doesn’t show which pages or products reference the file. If you’re unsure, leave it alone. One extra file is far cheaper than a broken image on the homepage. If you want to clean up, do it in small batches and check the store afterward.

Can I replace an image without changing the links to it?

Yes. Upload the new version with the exact same filename to the same folder. This will overwrite the old one, and the URL will remain the same. If the old version is still showing, it’s your browser’s cache—refresh the page using Ctrl+F5 on Windows or Cmd+Shift+R on a Mac.
