Upload supplier packing slips for inventory update
Upload delivery notes from your suppliers as a PDF or image and let AI automatically extract item numbers and quantities for stock updates.
What does this feature do?
When you receive goods from a supplier, you can upload the packing slip directly to Shoporama. The system uses AI (GPT-4o) to automatically extractSKUs and quantities from the document. You can then review the extracted data and put the items into stock with a single click.
You’ll find this feature under Inventory → Import/Export → Receive Orders in the admin panel.

Supported file formats
- PDF — delivery notes, invoices, and packing lists in PDF format.
- Images — JPEG, JPG, and PNG (e.g., a photo of a delivery note).
You can upload multiple files at once.
Here’s how
- Go to Inventory → Import/Export and click Receive Orders.
- Select one or more files from your computer (PDF, JPEG, JPG, or PNG).
- Click Upload. The system analyzes the files using AI and extracts the item numbers and quantities.
- You’ll see a table with the products found:
- Checkboxes to select or deselect products.
- SKU identified by the AI.
- The matched product with an image (or “Not found in the online store” if the SKU doesn’t match).
- Quantity — can be edited manually before adding.
- Select the products you want to add to inventory, and click " Add Selections to Inventory."
How does the system match products?
The system matches the SKU found against your products:
- First, it searches the SKUs of variants. If a variant matches, it is added to inventory with the correct attributes.
- Next, it searches the primary SKUs of products. Products with variants are skipped here (since it’s not possible to add generic inventory to a variant product).
Tips
- Make sure your products’ SKU numbers in Shoporama match those on the supplier’s packing slips.
- The AI recognizes many types of item numbers, including SKU, item number, product number, and style number.
- Always review the extracted data before adding it to inventory—the AI can make mistakes, especially with poor image quality.
- You can delete uploaded files using the “Delete All Uploaded Files” button when you’re finished.
